Refund and Cancellation Policy: Requests for refunds will be honored when received fourteen calendar days prior to the program. However, another person may be substituted at any time for this program. A $25 administrative fee will be deducted for cancellations. In the unlikely event that this program is cancelled or postponed due to insufficient enrollments or unforeseen circumstances, the university will fully refund registration fees but cannot be held responsible for any other expenses, including cancellation or change charges assessed by airlines, hotels, travel agencies, or other organizations.

Information on Minors:

Thank you for bringing students to the 2016 STEM Summit! Per Virginia Tech and federal policy, we must have on record the following letter of certification on school letterhead signed by the superintendent or his/her designee to allow minors to attend VT conference events:

  • List of students who will be attending the Summit.
  • Statement of who will be transporting the student(s) to the Summit and who will be responsible for their supervision during the Summit.
  • Statement that the school division has signed permission slips from the parent/guardian of each of the students attending.
  • Statement that the chaperone’s school division sends Virginia Tech documentation stating that they have already received Title IX training or a similar training on interaction with minors from the school division.
  • Statement that each chaperone has had a background check conducted by the school division and the school division has cleared the chaperone/s to be with the student(s) at this event.
